Terms of Service
Last updated 21 October 2026
1. Who we are, and who these terms are for
SyncSlabs is a service for businesses that sell, cut and fit stone and slabs. It is provided by [Company name B.V. / eenmanszaak], registered with the Dutch Chamber of Commerce (KvK) under number [KvK number], VAT number [BTW number], [Street and number, postcode, city, The Netherlands] (“we”, “us”).
These terms are between us and the business that opens a workspace (“you”). SyncSlabs is meant for businesses and professionals, not for consumers. By creating an account, accepting an invitation or using the service you accept these terms. If you do so for a business, you confirm that you may bind it.
2. The service and your account
- Your workspace is the space in which you and the people you invite (“members”) keep inventory, reservations, production jobs, measurements, customers, suppliers and staff.
- The owner of a workspace is responsible for who is a member and what role they have, and for everything members do in it. Keep sign-in details private and tell us at once if you think an account was misused.
- Give us correct information and keep it up to date. Staff you add to a workspace do not get an account, but you are responsible for having a good reason to hold and email their details.
3. Using the service properly
You may not:
- break the law with it, or use it to store anything you have no right to store;
- try to reach another workspace’s data, or probe, overload or work around the service’s security;
- send spam or messages to people who have no business with you, through our email features;
- copy, resell or reverse-engineer the service, except where the law allows it.
We may suspend a workspace that breaks these rules or puts others at risk. A suspended workspace stays readable and you can ask for your data, but nothing can be changed until the matter is settled. We will tell you why, and we will lift the suspension as soon as the cause is gone.
4. Your data
Everything you put into SyncSlabs (“your data”) stays yours. You give us the right to store and process it only to provide the service to you. We do not sell it and we do not use it for advertising.
You are responsible for what you enter, and for having a lawful basis to hold your customers’, staff and suppliers’ details. For business-critical records, keep your own copy: use the exports and printouts in the application, or ask us for an export.
When your agreement ends we give you a copy of your data on request, and delete the workspace within 30 days after that, unless the law obliges us to keep something.
5. Personal data: our role as processor
For the personal data you keep in a workspace (for example your customers’ and staff members’ names, contact details and addresses) you are the controller and we are the processor under the General Data Protection Regulation (in Dutch, the AVG). This section is our data processing agreement. For the personal data of the people who sign in (name, email, sign-in security) we decide the purposes ourselves; see the Privacy Statement.
- What we process, and why: the data you enter and the data your members and customers produce by using the service, only to provide the service, on your documented instructions (these terms and what you do in the application). We tell you if we think an instruction breaks the law.
- Whose data: your members, your customers (and their contacts), your suppliers and your staff. What kind: names, email addresses, telephone numbers, addresses, notes, photos and files attached to jobs. We do not expect, and you should not enter, special categories of personal data.
- Duration: as long as the workspace exists, and then as set out in section 4.
- Confidentiality: everyone who may reach your data at our end is bound to keep it confidential.
- Security: we take appropriate technical and organisational measures: encryption in transit, separation of every workspace’s data in the database, roles for members, two-step sign-in for those who switch it on, limits on repeated sign-in attempts, and monitoring for errors. We review them as the service grows.
- Sub-processors: you allow us to use the providers below. We will tell you before we add or replace one (by email or in the application), and you may object on reasonable grounds within 14 days. We bind each of them to terms that protect your data as these do, and we are responsible for their work.
- Outside the EU/EEA: where a provider handles data outside the European Economic Area, we do so only on a legal basis the AVG recognises, such as the EU–US Data Privacy Framework or the Commission’s standard contractual clauses.
- Helping you: we help you answer requests from people about their data (access, correction, deletion and so on), and with your own duties on security, breach notification and impact assessments, as far as that is reasonable given what we do. We may charge for work that goes beyond normal use.
- Breaches: if we find out that personal data in your workspace was exposed, lost or altered without authorisation, we tell you without undue delay, and where we can within 48 hours, with what we know so you can meet your own duty to report.
- Checking us: we give you the information you reasonably need to show that we keep to this section, and allow audits by you or an auditor you appoint, once a year or after a breach, at your cost, with reasonable notice and without disturbing our other customers.
Our sub-processors at the time of writing:
- Supabase – Database, sign-in and file storage. European Union (Germany, Frankfurt).
- Vercel – Hosting the website and the application server. European Union (Germany, Frankfurt) for the application server - the provider is a US company.
- Resend – Sending email (invitations, password resets, measurement and job notices to customers and staff). European Union (Ireland) - the provider is a US company.
- Upstash – Rate limiting, to stop password guessing and abuse. European Union (Germany, Frankfurt) - the provider is a US company.
- Sentry – Error monitoring, so we can find and fix faults. European Union (Germany).
6. Price and payment
Where a paid plan applies, the price and billing period are the ones shown or agreed when you sign up. Prices are in euros and exclude VAT. We invoice in advance, and you pay within 14 days of the invoice date. If you do not pay in time we may suspend the workspace after a reminder. We may change prices for the next period if we give you at least 30 days’ notice, and you may then end the agreement before the new price starts.
7. Availability and support
We work to keep SyncSlabs available and to fix faults quickly, but we do not promise that it will be uninterrupted or free of errors. We may do maintenance, and we may improve or change features; if a change takes away something important to you we will tell you in advance. Support is by email at [support@yourdomain].
8. Our rights in the service
The software, design, name and everything we build belong to us or our licensors. You get a limited, non-exclusive, non-transferable right to use it for your own business while the agreement lasts. If you give us feedback, we may use it freely to improve the service.
9. Confidentiality
Each of us keeps the other’s confidential information confidential and uses it only for this agreement. This does not cover information that is public without a breach, was already known to the receiver, or must be disclosed by law.
10. Liability
- We are liable for damage you suffer through our failure to do what we agreed only if we were in default after you gave us a written notice and a reasonable time to put it right.
- Our total liability in any one year is limited to the fees you paid us in the twelve months before the event that caused the damage (and, for a free workspace, to €500).
- We are not liable for indirect damage such as lost profit, lost orders, lost savings, or damage from a decision you took relying on the service’s figures without checking them.
- None of this limits liability for intent or deliberate recklessness, or anything else that the law does not allow to be limited.
11. How long the agreement runs, and ending it
The agreement starts when you create the workspace and runs until one of us ends it. You can end it at any time from your account or by email. For a paid plan it ends at the end of the period already paid for, and we do not refund the rest unless we are the ones who end it without cause. We may end it with 30 days’ notice, or at once if you seriously break these terms. Section 4 then applies to your data.
12. Changes to these terms
We may change these terms. For a change that matters we tell you by email or in the application at least 30 days before it takes effect. If you do not accept it, you may end the agreement before then. The date at the top of the page says when the current text took effect.
13. Law and disputes
Dutch law applies, and the United Nations Convention on Contracts for the International Sale of Goods does not. Disputes go to the district court of [city], unless the law requires another court. We would like to hear about a problem first and try to solve it together.
